Business travel can involve much more than a single airport transfer. Companies may need arrivals from several flights, hotel-to-conference shuttles, dinner transfers, factory visits, incentive excursions and final airport departures. A coordinated transport plan gives the event team one schedule to manage and reduces the chance of delegates being left to arrange their own travel at busy times.
Lisbon and Porto host major corporate activity, while Algarve resorts are commonly used for incentives, meetings and golf programmes. The right vehicle mix may include executive cars for senior guests, minibuses for small teams and coaches for main delegate movements.
Conference and incentive programmes
For conferences, provide venue doors, required arrival times and the number of passengers from each hotel. If the event ends in waves, the return transport can be structured around expected delegate numbers rather than sending a full coach every few minutes regardless of demand.
Incentive travel often combines business sessions with tours or dinners. The schedule should leave enough transition time for guests to return to the hotel, change and meet again rather than treating every movement as an isolated transfer.
Airport coordination
Large corporate arrivals benefit from flight manifests grouped by arrival time. Passengers landing within a practical window can sometimes share a vehicle, while very different arrivals may require separate transfers. Luggage, VIP requirements and flight disruption should be considered before finalising the plan.
A named coordinator at the airport or hotel can make group loading faster, particularly when passengers do not already know one another.
Clear booking information
Corporate transport quotes are easier to manage when each movement has a date, pickup, destination, passenger count and required arrival time. Add cost-centre or event references if your internal team needs them on the booking paperwork.
Changes should be communicated through the booking channel so the updated itinerary is recorded rather than agreed informally with a driver on the day.
